In HubSpot's forecast tool, the displayed pipeline and forecasts depend on the selected period, pipeline and amount settings. Categories can supplement deal stages; they do not replace the underlying records. Confirm the actual configuration before asking a hire to change it.
HubSpot defines pipeline coverage as open pipeline divided by the gap to goal. Document what counts in the numerator and denominator, including the period and amount basis. If the remaining gap is zero or negative, explain that the goal has already been met rather than displaying a misleading ratio. Coverage does not establish deal quality or predict a win by itself.
For hiring purposes, ask the candidate to distinguish an incorrect value from an undefined business rule. A CRM administrator can implement an approved policy. Someone must still have authority to approve that policy.

Give shortlisted providers the same brief and ask each to return a responsibility map, screening evidence and proposed support scope. Compare the person who will do the work, not an advertised acceptance rate. A reference should establish what the candidate owned, who reviewed it and what changed after their work. Do not ask for confidential former-employer exports.
A one-time migration with a clear completion date may call for specialist delivery. An ongoing owner of routing, forecast reporting and cross-functional change control needs a different relationship. Avoid asking one full-time hire to cover systems architecture, campaign execution, sales management and financial planning without priorities or support.

Ask the candidate for an investigation plan and a reversible first step. A strong answer treats the handoff as a hypothesis, traces sample accounts from signal through response and deal outcome, and separates new-logo, renewal and expansion cohorts. It does not conclude that the handoff caused the booking decline from these observations alone.

The candidate should name a stop condition, such as duplicate opportunity creation or routing to an unauthorized owner, before proposing automation. A successful routing test demonstrates that a rule executed correctly. It does not demonstrate that revenue improved.

Turn the brief into an operating plan
Before the search, record the CRM and integrations, current reporting cadence, named manager, commercial approvers and working-hour requirements. Ask the candidate which first assignment they could complete with read-only access and which changes require administrator approval.
Use these milestones to agree on scope, with timing adjusted to system complexity and available support:
- Document the baseline: an inventory of key reports, definitions, integrations and unresolved owner decisions. The manager confirms priorities.
- Reconcile one important report: trace it to source records, record exclusions and explain discrepancies. The report owner signs off on the definition.
- Pilot one approved improvement: test a routing or validation change in a sandbox, review affected records and dependencies, then obtain approval for a limited rollout.
- Establish the recurring review: name the metric owner, source, period, denominator and escalation decision. Transfer enough documentation that someone else can cover the work.
