Managing a new LATAM hire

What to document before a new hire's first real assignment


Before a new hire starts a real task, state its business purpose and agree when the named reviewer will review it. Name the task owner, access approver and decision authority. Record the current data state and the evidence a reviewer will use to accept the work. Keep blockers and next actions current so the hire knows what can proceed and who must resolve the rest.

Give the first task a written handoff

A manager can use this template for one assignment after hiring: a reconciliation, an approved data review or another defined piece of work. It suits US companies adding professional LATAM talent, including growing companies, PE portfolio businesses, family offices and holding companies. The record belongs with the team's working documents, where the hire and reviewer can update it.

The nine handoff fields

Complete the first seven fields before assigning the work. Review blockers at that point, then update them as the work changes. A blocker or open decision needs a next action with a named owner; a blank next-action field is appropriate only when no follow-up is needed.

The CSV has eleven columns: these nine fields plus assignment_id and task_name to identify the work. Use one row per assignment. The blank download and completed examples use exactly the same columns, so you can keep them in one spreadsheet.

The review times below are fictional planning assumptions. Replace each with an agreed date, time, time zone, and named reviewer before assigning the work. Keep the review appointment when part of the task is blocked so the manager can assess progress and resolve the blocker.

Finance example: preparation can proceed while access is pending

Fictional Company A is preparing a new finance hire's first reconciliation. Owner A and Reviewer A are fictional labels for individual people. Replace them with names in your own handoff.

The uploaded statement and approved ledger access let Owner A prepare the file. Pending bank portal access blocks the portal verification step, not all preparation. Reviewer A must also settle the account mappings. The acceptance record should identify anything still unresolved rather than treating an unexplained difference as completed work.

RevOps example: route an unresolved business decision

Fictional Company B gives Owner B an approved export to review offline. Reviewer B is the named sales operations lead. The deliverable is a recommendation record; changing live CRM records is outside this assignment.

An automated duplicate flag is a reason to investigate. It does not establish that the records describe the same entity or should be merged. Owner B can review the evidence and continue with other pairs while Reviewer B resolves the disputed cases. Any later CRM changes require a separate authorized task.

Use review findings to make the next action specific

Suppose Reviewer B finds that two rows in the assessment log omit evidence needed to support their recommendations. Owner B revisits those rows, records the missing evidence or marks it unavailable, revises the recommendations and resubmits the log. No CRM merge has occurred, and there is no merge to undo.

The response depends on what stopped progress. An access problem goes to the access approver. A decision outside the hire's authority goes to the decision owner. An incomplete deliverable goes back to its owner with the review finding. Record which part of the task can continue while that action is pending.

Keep the handoff with the working documents

Use the template after the hiring decision, to organize a real assignment. Keep passwords, tokens, account numbers and raw customer or financial data in their approved systems. The handoff names the access approver and describes the data state; it should not become a second copy of sensitive records.
